Who we are
CPT UK is a personal training and coaching service run by Martin Gooden in Nottingham, United Kingdom. This policy covers the CPT UK client app and the coach dashboard used by your trainer. Our website has its own privacy policy.
CPT UK is the data controller for the personal data described here. We handle it in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. For anything in this policy, email info@cptuk.co.uk.
What we collect
The app only exists for clients who have already signed up for coaching. We collect:
- Account details: your email address, the access code you were given, and the sign-in codes we email you.
- Onboarding questionnaire: your answers about your lifestyle (sleep, energy, activity, stress, work–life balance), mindset (motivation, confidence, obstacles), nutrition and hydration habits, any supplements you take, your exercise habits, recovery and goals, plus the days and times you are free to train. If you joined before October 2026 we may also hold the name, age, height and weights you gave then.
- Health and fitness data: weigh-ins, workouts you log, the meals and nutrition you record (including photos of your meals and any notes you add to them), and an optional before photo. This is special category data under UK GDPR, so we only process it with your explicit consent, which you give when you enter it in the app.
- Technical data: your IP address and the time of sign-in attempts, kept briefly to stop abuse of the access-code and sign-in systems.
- Error reports: when something in the app goes wrong, a report with the error, your device and app version, and your account ID (not your name or email) so we can fix it. Reports never include your photos, meals or measurements.
When you log a meal, the photo and any note you add are sent to our AI provider, Anthropic, to estimate its calories and macros. The app asks for your permission before the first one is sent, and you can turn this off at any time in Settings → AI meal analysis. If you log the meal, the photo is stored with it so you can see it in your history and your trainer can see what you ate. If you don't log it, the photo isn't kept. Meal photos are deleted when you remove the meal or delete your account.
We do not use advertising, tracking or analytics tools in the app. The only third-party code that reports from the app is the error reporting described above.
How we use it
- To sign you in and keep your account secure.
- To build and adjust your training plan and track your progress.
- To show your trainer your plan, workouts, weigh-ins, meals, meal photos and before photo so they can coach you.
- To contact you about your coaching.
Our lawful basis is performance of our coaching contract with you, and your explicit consent for health and fitness data. You can withdraw consent at any time by deleting your account (see below).
Who can see your data
Your trainer at CPT UK, through the coach dashboard, which is protected by a password and two-factor authentication. No other clients can see your data.
We use these providers to run the service. They process data only on our instructions:
- Supabase: database, sign-in and file storage, with data held in London.
- Vercel: hosts the coach dashboard and this page.
- Resend: sends the sign-in code emails.
- Anthropic: analyses meal photos and notes to estimate nutrition. Anthropic is based in the United States and does not use this data to train its models.
- Sentry: receives the app's error reports, stored in the EU and deleted after 90 days.
We never sell your data or share it for marketing.
How long we keep it
We keep your data while you are a CPT UK client and for up to 12 months after your coaching ends, in case you come back. Sign-in and access-code attempt logs are deleted after a day.
You can delete your account at any time from the app (Settings → Delete account). This permanently removes your profile, plan, workouts, meals, weigh-ins and photos, and your trainer will no longer see you in their dashboard.
Your rights
Under UK GDPR you can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that is wrong;
- delete your data (or do it yourself in the app);
- restrict or object to how we use it;
- send you your data in a portable format.
Email info@cptuk.co.uk and we will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Children
The app is for CPT UK clients aged 18 and over. We do not knowingly collect data from anyone under 18.
Changes
If we change how we handle your data we will update this page and, for anything significant, let you know in the app or by email.
